In addition to the default built-in recruitment flow, which includes: New, Application review, Phone Interview, Video Interview (if enabled), Face to Face interview, as well as outcomes: Hired and Rejected, it is possible to add other recruitment flows, which then can be used in different recruitment processes.
Please, note, that the recruitment flows added in Settings, are only templates, and when specific position gets its recruitment flow, the flow is copied and can't be changed. It is possible to edit the template and re-assign the flow to the position as long as position does not have any applications. This makes it important to plan the recruitment more carefully and add possible extra steps, because it is easy to a skip a step.
Each step have a type, which is Status. There can be several steps with the same status. For example, steps “Skype Interview“ and “Skype Interview 2“ can share Phone Interview status.
The “Reject“ step is always added by the system, but “New“ and “Hired“ are not.
It is recommended to keep the diversity of steps minimal, and reuse existing steps as much as possible, because it will be easier to search position by steps. For multi-lingual companies, it is possible to translate steps to all languages, supported by the system, so there is no need to create separate flows and steps just because of different languages.
New flow can be added in the “Settings“ by using “Create flow“ button:
In the edit view steps can be added in any order and then reordered by dragging and dropping.
The “Add step“ button can be used to add new step. One possibility is to select any existing step, which has not been yet used in this flow, or create a new one by giving it a name and status (type).
New step must have a name in the company's main working language and can optionally have language-specific names (choose a language instead of Default and type the name, repeat for each language). It is advisable to make translations before using the flow. Remember to click Create new step when done.
It is possible to edit or remove the step later by clicking on three vertical dots symbol:
changing name, translations or status:
After making changes to the flow, press “Save & Exit“ button.
Default flow can be changed from the menu:
Please, note, that this change will not propagate to all positions. It will apply to positions, which will be assigned the flow in question after the editing has been done and flow saved.
After new flows are carefully created, new positions can use them. At the time of writing a dropdown on the first page of position creation can be used for this purpose:
As a result, the position will have a recruitment flow copy. Position's recruitment flow can be changed only while there are no applicants.
The recruitment flow will be visible in the application view and its steps will be visible when application status is to be changed or indicated.
Please note, that while it is possible to move or copy applications between positions with different recruitment flows, if the exact same step is missing from the target position, the first status of that position will be used (usually, New).
Custom recruitment flow can use three more step types compared to the built-in flow:
At the moment of writing, there is no special logic assigned to those statuses. In order to send status updates for these statuses, mass or individual message-sending can be used. For example, to send status updates to all applicants at Coding assignment step (provided you have a flow with such a step), go to the “Applications” view, select positions to search from, select a Coding assignment step. Then select candidate with check-boxes and press Send message button.
