Enabling “Approval process” allows you to select users who are required to review job requisitions. Once approved, job requisitions can be published as open positions. These settings can be edited only by admin users. Click on “Settings” icon at the top right corner of the page and choose “Approval process” in the dropdown menu to open the view illustrated in the picture below.
STEP 1 Tick the checkbox “Enable approval process” if you want that approvals are required before any position can be published.
STEP 2 Tick the checkbox “Publish the job ad immediately after obtaining a sufficient number of approvals” if you want that position is published automatically.
STEP 3 Type in the minimum number of necessary approvals in “Required approvals” field.The number of reviewers should be no less than the number of necessary approvals.
STEP 4 Type in any email in “Add reviewers” field to choose users who should be added to “List of reviewers” and click “Add”. You will be able to select different users for each job requisition from the list of "reviewers”.
STEP 5 Selected reviewers by clicking them one by one on the left-hand side of the "Reviewers" field (see the picture below).
Note that the number of Selected reviewers may be larger than the number of required approvals. As a result, the job requisition may become approved even before every reviewer has pressed the "Approve" button.
Publishing a job ad is possible only after the specified number of reviewers, defined in the Approval process settings, have approved the position. You find the "Email reviewer for approval" button will be on the last page of "Create new position’ process:
Each reviewer will get an email with a link to the job ad preview. Possible actions there are:
- Approving the job posting
- Send a short comment to the job ad creator
For the approver, it is also possible to send a comment and then approve. There is no separate "Disapprove" button – it is up to the job ad creator to review the comments and take the next actions accordingly, such as delete the position if it is not approved.
After the position is approved, the status changes from "Waiting for approval" to "Approved" or ‘Active’ depending on the choice made earlier in the Settings.
Approval process details can be found in the "Approvals" section in the "Applications" view in the right-most column of the table. All actions and messages for a specific position will be shown as follows:
NB. The approval link must not be used for posting job ad anywhere. Proper link can be found when publishing approved position or from Share action of a specific position in the Positions listing.
