The job requisition “Approval process” can only be enabled by admin users. To define users who will be able to review your organization’s job requisitions, open the “Approval process” section in “Company settings”.
You can configure the following items:
- Tick the checkbox “Enable approval process” if you require approval(s) before publishing job ads.
- Tick the checkbox “Publish the job ad immediately after obtaining a sufficient number of approvals” if you want job ads to be published automatically after the required approval(s) have been obtained.
- Type in the minimum number of needed approvals in “Required approvals” field. The number of reviewers in the list should be no less than the number of necessary approvals.
- Type in an email address in “Add approver” field and click “Add”. This email will be added to the “List of approvers” below. Make sure that all possible approvers are added to the list. For every job requisition you will be able to select the relevant approvers.
Creating a job ad with the approval process enabled
Now when creating a new job requisition, you will be asked to select the approvers in the “Position edit” view. You will see the list of all possible approvers, but you need to select only as many as was defined to be required in the “Approval process” settings. Select the one(s) that are relevant for this specific position.
Note that the number of selected approvers may be larger than the number of required approvals. As a result, the job requisition may become approved before every approver has pressed the "Approve" button.
After you’re done with creating the job requisition, you must notify the approvers via email. Click the "Email approver for approval" button on the “Preview” page.
The system automatically sends each selected approver an email with a link to the job ad preview. The approver can immediately approve the job ad or leave a comment if there are some corrections needed. If the approver sends a comment, it will be sent via email to the person who sent the job ad to be approved.
After the position is approved, the status changes from "Waiting for approval" to "Approved" or “Active” depending on the choice made earlier in “Company settings”. Note that if the status is “Approved”, it is not published yet but you need to publish the job ad separately.
You can check the approval process details in “Positions” page by clicking “Approvals” in the action menu on the right side of the position.
