A recruitment flow is one of TalentAdore’s key functionalities that you need to master in order to do recruitment. You can handle candidate applications by simply changing their status from one step to another. Note that outcomes “Hired”, “Rejected”, and “Withdrawn” are not part of the recruitment flows. In the picture below, you can see a built-in recruitment flow in the “Candidate” view.
The built-in recruitment flow includes the following steps: “New”, “Application review”, “Phone Interview”, “Video Interview” (if enabled), “Face to Face interview” and “Offer”. It is also possible that your organization has created custom recruitment flows, which can be used in different recruitment processes according to your needs.
You can change the candidate’s application status in the recruitment flow by clicking on the specific step. If your organization has enabled automatic status updates, then automatic emails will be sent out when application is in steps “New” and “Application review”. You can see these emails from the “Activities” tab in “Candidate’s view”, moreover, you can modify or cancel them.
Depending on your user rights, you may also be able to move or copy applications from one position to another. While it is possible to do that between positions with different recruitment flows, if the exact same step is missing from the target position, the first status of that position will be used (usually, “New”).
As mentioned earlier, recruitment flows can be designed based on your organization’s needs. Admin users are in charge of creating various recruitment flows that can be chosen when opening a new position. In the next section, we will tell you how.
Choosing the recruitment flow in a new position
When creating a new position, pay attention to the “Recruitment flow” drop-down menu. This menu contains all existing recruitment flows in the system. If you do not want to use the organization’s default recruitment flow that is automatically suggested, select another flow. If there are no other options than “Built-in”, then your organization is using only one recruitment flow.
The selected recruitment flow can be modified after the position is published. Note that the new recruitment flow has to contain the same step as the candidates currently are in the old recruitment flow, otherwise the recruitment flow can’t be changed. It’s still important to plan the recruitment very carefully before publishing the job ad. One good case practice is to add possible extra steps and skip them if not needed.
