This guide describes how to invite multiple candidates to an interview at once. Please note, mass interview invitations can be sent only to candidates that are in the same position.
First, go to the “Applications” page, find the right position and make sure that the position-specific recruitment flow has the necessary interview step added. If the step is missing or you want to add an additional one, simply edit the recruitment flow in the position.
Then, select the candidates you want to invite and click on the “Interview” button located in the grey bar below the recruitment flow.
In this guide, we describe what happens if you invite candidates to a face-to-face interview. Nevertheless, inviting candidates to a phone, video or online interview works in the same way.
After clicking “Schedule face-to-face interview”, the dialogue illustrated below this paragraph opens up and requires you to take several actions.
Get started by clicking on the recruitment flow and indicating the step to which you want the selected applications to be moved.
Then, choose if you want to
- change the step only
- change the step and schedule the interview.
If you choose the latter action and proceed with inviting candidates, you need to click on the red “Select interview slots” button (marked in the picture below).
The TalentAdore calendar view opens and requires you to select time slots that will be offered to the candidates in question.
If you want to add new time slots, simply click on an empty spot in the calendar and add one or many consecutive times.
Please note, the minimum number of time slots to be selected is equal to the number of selected candidates. For example, if you have selected 15 candidates, you need to choose at least 15 time slots.
Next, you need to make sure that you have selected the right applications. This is an extra security step that enables you to be 100% sure of which candidates will be affected.
When applicable, you will see “Errors”, “Warnings” and “Information”. Click on the relevant block to see more specific comments. Before proceeding, you need to resolve errors or deselect applications affected by errors. If you prefer to not see deselected applications, click on the “Update table” button in the top right corner.
After making sure you have selected the right set of applications and there are no errors, click “Continue”. Finally, you can see and, if necessary, modify the interview invitation message.
Don’t edit or delete the [LINK] placeholder. It will automatically change into a real link after sending the message. Through the link candidates can choose the suitable interview time for themselves. When ready, simply click “Send”.
